Over-Receipt Code for Purchase Orders

Client: We are unable to process invoices that go over the PO amount. Is there a way to have the system accept up to 5% over the amount of the purchase order? We are currently reopening and changing the purchase orders at each instance.


1. Create Over Receipt Code: Use the Tell Me search feature by pressing ALT+Q, then type "Over receipt" and select "Over-Receipt Codes" from the list. This will bring up the page where you can manage over receipt settings.

2. Create Over Receipt Code: On the Over-Receipt Codes page, you can create new codes that define the percentage tolerance for over-receiving. For example, create one code for a 5%. The code will specify how much more than the ordered quantity can be received.


Optional Approval Workflow: If you want to require approval for over-receiving, you can check the "Approval required" checkbox on the Over Receipt Codes page. This will enforce a workflow where excessive receipts must be approved before they can be processed. <---I did not test this functionality.

3. Assign Over Receipt Codes to Items: Navigate to the item card of the product for which you want to allow over-receiving. Assign the appropriate over receipt code to this item in the Inventory FastTab. This will enable the system to allow receiving quantities that exceed the ordered amount based on the specified tolerance. This is where our training later today on Edit in Excel will come in handy.

              

4. Assign Over Receipt Codes to Vendors: Similarly, go to the vendor card for the supplier from whom you are purchasing. On the Receiving FastTab, find the Over Receipt Code field and assign the relevant over receipt code. This allows you to set specific tolerances for each vendor. This is not required if you add to the items, but you can also use this on the vendors if you wish. 

Keep in mind that if both the item and vendor have over receipt codes assigned, the most restrictive setting will apply. For instance, if the item allows for a 20% over receipt and the vendor allows for 10%, you will only be able to receive up to 10% more than the ordered quantity.
